The Accounts Payable (AP) Manager provides leadership and oversight for the Accounts Payable function of the Finance Department. This role ensures timely and accurate processing of all payables, maintains compliance with internal controls and regulatory requirements, and drives continuous process improvement. The AP Manager supervises AP Specialists, reviews work for accuracy and ensures the AP team meets deadlines while supporting staff development.
The AP Manager acts as the primary point of escalation for AP-related issues, partners with other departments to resolve vendor and payment concerns and consistently reviews the AP aging and general ledger to ensure completeness and accuracy. This role plays a critical part in maintaining audit readiness, enforcing financial controls, and supporting organizational policies and procedures.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Leadership & Supervision
- Supervise and mentor AP Specialists, provide coaching, training, and development opportunities.
- Assess team strengths and delegate responsibilities to balance workload effectively.
- Conduct regular one-on-one meetings and performance reviews.
- Provide escalation support for complex or sensitive vendor/staff issues.
- Accounts Payable Oversight
- Oversee timely processing of invoices and vendor payments, ensuring accuracy, proper coding, and policy compliance.
- Review AP entries and reconciliations for completeness and adherence to GAAP and organizational policies.
- Monitor AP aging and general ledger accounts; resolve discrepancies proactively.
- Ensure compliance with internal approval processes and financial controls.
- Maintain vendor files and records in accordance with audit and compliance requirements.
- Process Improvement & ComplianceLead development and refinement of AP policies, procedures, and internal controls.
- Partner with Finance leadership to streamline workflows and introduce automation where appropriate.
- Ensure audit readiness by maintaining proper documentation and reconciliations.
- Support regulatory and tax compliance (e.g., annual 1099 filings) for AP-related activities.
- Collaborate cross-departmentally to improve vendor onboarding, communication, and payment processes.
- Collaboration & Communication
- Serve as primary AP liaison with other Finance functions, departments, and vendors.
- Provide guidance to staff and managers on AP-related policies and procedures.
- Communicate clearly and promptly regarding payment status, issues, and resolutions.
ADDITIONAL RESPONSIBILITIES
- Provide support and communication for organizational staff and departments, and for external partners/vendors about policies, updates, transaction activities and general inquiries.
- Maintain filing system for financial documents and records.
- Assist with periodic ad hoc reporting.
- Organize and manage annual 1099/1096 tax filings.
- Other duties as assigned.
SKILLS AND QUALIFICATIONS
- Bachelor’s degree in Accounting, Finance, or related field (or equivalent work experience).
- High skills in Microsoft Excel
- Minimum 7 years of progressive AP or Finance experience, with at least 3 years in a supervisory/managerial role.
- Strong knowledge of GAAP and AP best practices.
- Experience with accounting systems (FundEZ, QuickBooks, or equivalent) and AP automation tools.
- Demonstrated ability to lead and develop staff.
- Strong analytical skills with experience reconciling GL accounts and resolving discrepancies.
- Excellent organizational skills: ability to prioritize and meet deadlines in a fast-paced environment.
- Strong interpersonal and communication skills with a collaborative approach.

Salary & Compensation: The final salary will be determined based on an internal equitable scale that takes into consideration years of experience, geographic location, and final job description. The upper end of the salary range is reserved for individuals who significantly exceed the minimum qualifications and years of experience.
