Description

The Event Coordinator will work collaboratively with staff across the organization to coordinate intimate meetings to large multi-day events with 400-500 attendees, in both Washington DC and other locations in the United States. The event coordinator will collaborate with colleagues on all aspects of event planning and provide “day of” event logistics, including, but not limited to, space, AV equipment, catering, and VIP support.


Key Responsibilities

  • Develop project plans for events and coordinate execution of events with appropriate HQ staff;
  • Enforce Truman’s event planning and execution process;
  • Assist with negotiations for space contracts and book event space, arrange food and beverage, order supplies, equipment and signage, and ensure appropriate décor to meet quality and brand expectations;
  • Conduct research, make site visits, and find resources to help staff make decisions about event options including coordination with Truman chapters;
  • Create and revise room layouts for each event;
  • Coordinate travel to and from events, as well as hotel accommodations, for participants as necessary;
  • Propose new ideas to improve the event planning and implementation process;
  • Serve as liaison with vendors on event-related matters;
  • Assist with managing on-site production and clean up for events as necessary;
  • Prepare name badges, materials, notebooks, packages, gift bags, registration lists, seating cards, etc.;
  • Close out all events as required.

Requirements
  • Bachelor’s degree with 2-3 years of work experience; relevant experience substituted for a degree;
  • Excellent communication skills, including writing, proofreading skills, and speaking;
  • Excellent organization skills and experience with project management;
  • Excellent interpersonal skills both in person and by phone, with high professionalism;
  • Fantastic customer service ethic and high expectations for quality;
  • Proficient using the Web to conduct research, as well as with the latest versions of Google Suite. Experience with Salesforce a plus;
  • Ability to work long hours, including nights and weekends, some travel required;
  • Thrives working in a fast-paced, results-oriented environment, and ability to work independently;

  • This is a remote position with travel to Washington, D.C. for major events.

Compensation
Truman salary bands are aligned with OPM General Schedule rates for the DC Locality. The Events Coordinator is a GS 7 Equivalent.
