ABOUT THE ROLE:
This position coordinates administrative duties and responsibilities to support program operations for the NCSL Leaders' Center, Legislative Training Institute, Institute for International Cooperation and small duties from the CEO. A Senior Program Coordinator independently performs general office and program support, event organization, travel, purchasing, expense tracking, data entry and retrieval, web content updates, and file tracking and management with minimal supervision. The Senior Program Coordinator reports to two program managers, while also handling assigned functions from other program staff.

NCSL is looking for a dynamic, organized, and flexible Senior Program Coordinator to work within a team of dedicated professionals. The Senior Program Coordinator works with the entire team to ensure that we are meeting NCSL’s mission to strengthen state legislatures with some of the most VIP constituencies. The Senior Program Coordinator will also be a collaborator between the team and other NCSL programs and will be part of a community of Program Coordinators throughout the organization. Key tasks include impeccable office management, organization and support for in-person and virtual meetings. The Senior Program Coordinator must have excellent written and oral communication skills to interact with a wide variety of audiences, inside and outside the organization. Most importantly, this person must have exceptional customer service skills and a positive attitude.


WHAT YOU'LL DO:

  • Collect and monitor data on legislatures, especially legislative leaders, in the United States and internationally, using a variety of resources.
  • Track relevant news updates on legislative leaders and international legislatures and prepare regular news clippings for senior NCSL staff.
  • Assists senior staff with compiling concise, accurate, and nonpartisan responses to legislative research requests.
  • Maintain and update webpages with new research, data, policy, and legislative information. May create new webpages based on emerging issues, or as assigned.
  • Lead administrative planning and executing in-person meetings for legislative leaders, international delegations, including marketing, logistics, materials preparation, and on-site support.
  • Assist with preparing, sending, and tracking NCSL outreach to legislative leaders regarding nominations and appointments to NCSL meetings, standing committees, and other programs.
  • Independently perform clerical tasks, including word processing, editing, creating graphics, formatting, posting, and distributing various publications.
  • Provide exemplary member service, including managing inbound and outbound communications with members.
  • Support general administrative duties for the CEO.
  • Other duties as assigned.

Supervisor/Management Responsibilities:
This position has no direct supervisory responsibilities. May have an opportunity to assist interns with assigned projects.

THE WORK ENVIRONMENT: This full-time position is mostly performed in an office environment, on or off-site, with prolonged periods of sitting at a desk and working on a computer. NCSL provides a unique hybrid remote work policy with the requirement that staff travel on their own fare to the NCSL office once a month for team meetings and professional development. Employees routinely use standard office equipment such as laptops, printers, scanners, copy machines, and smartphones. Occasional travel by airplane, including overnights and weekends, is required. Qualifications

Minimum Qualifications:

  • High school diploma (or its equivalent) plus seven years of progressively more complex administrative experience.
  • Excellent computer-based clerical skills, including Microsoft Office and other software programs; ability to learn new procedures and applications.
  • Expertise in communicating clearly and professionally in writing and orally and dealing discretely with sensitive information.
  • Substantial experience working both independently and collaboratively as circumstances dictate.
  • High level of proficiency with simultaneously managing multiple tasks and deadlines.
  • Significant experience working under deadline pressure and adapting to changes in workloads.
  • Superior customer service and organizational skills with strong attention to detail.
  • Critical thinking and problem-solving skills.
  • Experience with budget and/or grant administration preferred (e.g., reporting, expense tracking, and budgeting).
  • Ability to travel by air approximately 4-6 times per year, generally for 1-3 nights.

Preferred Qualifications:

  • Candidates with legislative experience are preferred.
