We are looking for an Elections Program Manager to join the Common Cause Florida team. This is a unique opportunity for someone with strong program management and relationship-building skills; in this role you will work closely with our Executive Director to manage our elections programs by engaging and training volunteers across the state, and supporting our coalition work with other organizations across the state as we work to protect the vote and the election process in Florida.
This role will report to the Executive Director of Common Cause Florida; you can be located anywhere within Florida (with a preference for someone in Miami or Orlando) and there will be regular travel within the state of Florida. Responsibilities:
Manage our elections field program and volunteers
· Launch and manage our new Roving Legal Monitors project, and manage our statewide poll monitoring project
· Recruit, organize and manage poll monitors and legal volunteers, working in collaboration with partners as needed
· Update and develop training materials for legal volunteers and poll monitors
· Coordinate and lead trainings for volunteers, poll monitors and partners, including managing scheduling, logistics, and all tech for both in-person and virtual trainings
· Support volunteers in the field and with using necessary technology tools
· Manage volunteers, including assigning shifts and locations, and coordinating with partners across programs to avoid gaps and duplication in poll monitor and legal rover coverage
· Develop a system to ensure volunteers receive all gear and materials (t-shirts, signs, etc.)
· Develop strategies to engage and retain volunteer between elections
· Recruit and manage temporary election protection organizers and/or interns, as needed
Manage our micro-grants process to support recruitment of poll monitors
· Identify organizations to be recipients of micro-grants
· Collaborate with other teams to manage the approval process for micro-grants
· Coordinate and manage distribution of micro-grants, and ensure recipients meet all required deliverables
Provide core operational support for Common Cause’s co-leadership of the Florida Election Protection Coalition, in collaboration with the Common Cause Florida Executive Director, State Voices Florida, and other coalition Steering Committee members:
· Manage contact and attendee lists, scheduling and communications about meetings, meeting minutes, and facilitating workgroups as needed
· Support tracking and mapping partner plans and capacity
· Conduct research and analyze data to support the geographic prioritization for our election field programs, including data on voter behavior and emerging election threats
· Track election schedules and data, including: poll site data, days and hours of early voting across counties, last minute changes in polling locations, and other relevant information
· Represent Common Cause Florida at events and coalition meetings
· Update common coalition training materials in collaboration with coalition partners
· Support Florida Election Protection Coalition partners to use coalition tools and processes, including providing training for partners in a train-the-trainer model and providing training for partners’ volunteers if needed, as well as office hours and troubleshooting support
· Support the coordination and scheduling of Experts and Captains for the Florida Boiler Room (election protection command center); serve as a Shift Lead and/or Captain on behalf of Common Cause when Boiler Room is operational; manage resources and tools to support rapid response

  • Ability to manage multiple short and long-term projects simultaneously, with a track record of meeting deadlines and deliverables; comfort with juggling multiple and shifting priorities
  • Openness to feedback and awareness of your own strengths and areas for growth
  • Deep familiarity with office productivity tools, specifically Microsoft Office, Google Suite, Slack, Zoom, as well as online organizing tools (Mobilize and other similar tools)

The following is required:

  • Experience organizing and managing volunteers, including volunteers with highly-skilled professional backgrounds
  • Ability to travel in-state multiple times per month and occasionally more frequently, and domestically 1-2 per year for all staff or team retreats
  • Ability to occasionally work evenings and weekends, including multiple times per week during and in the lead up to elections
  • Candidates may not currently be in elected office or running for office

We have a preference for candidates who also demonstrate:

  • Fluency in Spanish
  • Experience analyzing data
  • Familiarity with elections work and/or campaign organizing in Florida

  • This position is included in a union-represented collective bargaining unit and specific employment terms and conditions are subject to collective bargaining negotiations
