Operations Manager
22nd Century Initiative
The Operations Manager manages the daily operational and financial functions of 22CI. This includes assisting with implementing strategic plans and organizational workplans, overseeing daily operations and budgets, delegating tasks, managing contracts, managing logistics for meetings and travel, tracking data and 22CI’s CRM, and managing organizational workflows.
Responsibilities & Duties
- Oversee daily operations: Manage 22CI’s operational functions, including administrative processes, remote working infrastructure, and inter-staff communications to ensure smooth daily operations.
- Technology and systems management: Oversee the use of technology, including productivity tools (Zoom, Slack, Monday.com, Fathom AI, etc.), databases, CRM systems, and other software to improve operational efficiency and program delivery.
- Develop and implement policies: Identify, create, and implement organizational policies, procedures, and internal controls to enhance operational efficiency and support the 22CI’s mission.
- Budgeting and financial management: Collaborate with the finance team to monitor and track expenses.
- Grant management and reporting: Support grant administration by tracking compliance requirements, timelines, and reporting for funders and donors.
- Resource allocation and procurement: Manage the procurement of office supplies, services, and equipment, and oversee the allocation of resources to different programs and initiatives.
- Compliance, risk management, and organizational security: Ensure the organization adheres to legal, regulatory, and donor requirements. Implement risk management processes to safeguard the organization’s assets and reputation.
- Event and program planning: Support the planning and execution of events, programs, and outreach activities with tech support, logistical support, and program development as needed.
- Vendor and contract management: Build and maintain relationships with vendors, contractors, and consultants and manage contracts and payments to ensure quality and cost-effective service provision.
- Reporting and evaluation: Monitor and report on key operational metrics, program performance, and organizational effectiveness to leadership and the board.
- Support fundraising activities: Assist with the planning and logistics of fundraising events, donor relations, and stewardship efforts.
- Assist the Executive Director: Manage the executive director’s calendar and travel, provide copyediting services, attend meetings and take notes as requested.
- Organizational culture: Contribute to an effective team culture that prioritizes mission alignment and programmatic success.
Skills & Qualifications
- 5+ years of non-profit management experience or equivalent training and experience
- Experience with nonprofit financial and operational best practices, including donor management and compliance reporting.
- Knowledge of accounting best practices and accounts payable/accounts receivable experience
- Experience managing budgets, contracts, grants, vendors, and vendor relationships
- Proficient in using nonprofit management tools and software (e.g., CRM systems, grant management software).
- Strong understanding of nonprofit operations, compliance, and donor stewardship.
- Knowledge and proficiency with a wide range of productivity tools/programs/platforms to increase organizational effectiveness and efficiency
- Experience developing and implementing organizational systems
- Excellent organizational skills and attention to detail.
- Ability to manage multiple projects and adapt to changing priorities.
- Strong communication, interpersonal, and problem-solving skills.
- Leadership skills and the ability to motivate and support a diverse team.
- Must be able to work remotely
Physical Demands
Must be able to work in front of a computer for up to 8 hours per day. Some travel may be required.

Remote work environment. Must be able to provide their own computer and office equipment.
